How to Choose Your Cruise

Follow these 10 steps to ensure smooth sailing.

There are more than 160 ships in the fleets of the 24 major cruise lines—and more than 7,500 itineraries, from Alaska to Zanzibar. So how do you decide which one most suits your style?Evaluate your options using these simple guidelines:

  1. Where to go Decide on the destination first, the ship second. Alaskan and Caribbean cruises have long been mainstays, but cruise lines are adding itineraries to unexpected places: Asia, the Indian Ocean, South America. “South America is a big player this year,” says Anne Morgan Scully, of McCabe World Travel in McLean, Virginia. “But Dubai is off the charts.”

Next, look at the specifics—with Alaskan cruises, for example, ships tend to follow two routes. Inside Passage itineraries run round-trip from Seattle or Vancouver and call in southern Alaskan ports like Juneau and Skagway; Gulf of Alaska itineraries, which sail farther north, are typically one-way trips from Vancouver to Whittier or Seward, or the reverse.

  • When to go Shoulder seasons can offer bargains, and may be even more appealing than high season: a mild fall day can be more enjoyable than baking under the August sun in the Mediterranean. Alaska’s popularity with families means that going in May and September (when children are in school) often translates into fewer visitors—and better deals. Fewer people can also mean more chances to see black bears and humpback whales up close.

  • Which line to book Select the cruise line, and the fellow passengers, that best match your personality. “This is crucial for the first time,” advises Anne Halsey-Smith of Gayle Gillies Travel in Rancho Santa Fe, California. “It will make or break your experience. If you aren’t matched to the line, you probably won’t cruise again.” Some have dress codes and assigned seating times for meals. Some, like Princess Cruises, are more kid-friendly. Norwegian Cruise Line is more casual than other lines and doesn’t have assigned dining times. Holland America’s offerings are more traditionally geared toward baby boomers. Finally, lines like Crystal and Regent are more upscale and, in turn, more expensive. A travel agent can help you make sense of the different options, and on the message boards of Cruisecritic.com you can hear directly from passengers.

  • What it costs Don’t look at the daily rate for a stateroom and then simply multiply by the number of nights you’ll be at sea. Remember to factor in airfare to and from the originating port, the costs of incidentals such as alcohol (unless the ship is all-inclusive), and shore excursions. A helicopter ride over the glaciers of Alaska can be a once-in-a-lifetime experience, but it can also add as much as $1,000 to your final bill.

  • Beat the rush Many cruise lines give discounts for booking far in advance. “It’s an issue of supply and demand,” Scully says. “As bookings come in, cruise fares go up in the most popular regions, like Alaska, the Caribbean, and the Mediterranean.” It’s never too soon to start planning your cruise.

  • Ship tips Size matters. The size of the ship can dictate the itinerary. Smaller ships, like those operated by Cruise West (the largest of which carries only 138 passengers) and SeaDream Yachts, can dock at smaller ports and offer a more personalized experience. They are often best suited for nature-oriented cruises to Antarctica, the Galápagos, and the Sea of Cortés. The downside: entertainment and dining options are often more limited.

  • Cabin splurge Consider your itinerary when deciding whether to reserve a balcony stateroom. For a repositioning cruise across the Atlantic, when there will be nothing to see from your balcony but the open ocean for days, it may not matter. But on Alaskan and Mediterranean cruises, it’s all about the views. And in Alaska, remember to book a cabin on the starboard (right) side of the ship on a northbound cruise and on the port (left) side of the ship on southbound itineraries so you’ll have a view of the coastline.

  • Arrive early—and stay on after your cruise First, if you don’t book your flight through the cruise line, your ship won’t wait if it’s delayed. As canceled and delayed flights have become commonplace, it’s wise to arrive at your starting port at least a day before you are scheduled to set sail. Second, cruise extensions are an increasingly popular option. You can cap off a Crystal sailing, for example, with a safari organized by the line—with fewer hassles and less expenses than on a separate tour. Holland America and Princess Cruises offer luxury railway and lodge trips for passengers in Alaska.

  • Before you board Don’t waste time waiting in line after you’ve pulled out of port. There are enough activities to make the most adventurous cruiser happy, but popular shore excursions often sell out. Be sure to plan your onboard activities early. Spas on ships have a limited number of treatment rooms; book your massages and facials in advance, if possible. Also, ask if there are discounts for booking treatments on days in port.

    Ooh – BAD timing for travel to Hawaii – and if not booked by now you probably just about have to have a travel agent. Good thing this is just the honeymoon and not the wedding, if you are booking now – so an agent will be even more important to you in this case, though I guess you might get a decent deal with an airline-sponsored package deal for two as well, if any are still available.

    My experience – a good travel agent is worth their weight in gold – we give ours a thank-you gift each year. We have one that charges $35 a person fee for all but extensive foreign travel packages (they make most of their money off booking commissions). We use her for all travel except simple mileage-plan-paid there-and-back trips when there is no rental car or motel involved, because when she does the booking she generally saves us about $25-50/day just on rental car and hotel/motel. For instance, on one Disney World trip we were able to take the 4 in the family PLUS our kid’s two best friends for about 5 days there, staying on-property with preferred passes, for the same amount as just the normal two adult cost – a thousand plus in savings. We can go online and see zero mileage or discount seats available for an entire week – yet she is able to get us seats on the day we want in most cases, or at worst one day away, and almost always on mileage even though the airlines themselves say no mileage seats are available – including at high travel periods.

    Of course, you need a conscientious one with lots of experience who knows the system ins and outs, and preferably running on the Sabre reservation system because it shows a lot more than competing systems and makes finding alternative booking easier, as I understand it.

    Using a travel agency (preferably one with several people working there and 24-hour emergency service) also gives you a firm point of contact to solve any problems or rescheduling – we have had 10 minute rebooking several times when a flight was cancelled – generally before the airline even got around to starting to help passengers get on other flights, and an agent carries a LOT more weight with rental car agencies or hotels or airlines than you do if the reservation is screwed up by them. Oh, and our agent always gets us a free car upgrade too – typically jumped up 2 grades at no extra charge.

    Don’t leave it ALL to the agent – give a synopsis of what type of lodging and seating and such you want and things you want to visit, then let him/her come back with a concept plan for approval modification, then to a hold reservation for your approval – typically an agent can put a “hold” on reservations for 24-48 hours for your approval, though that does require you stay on top of your eMail to respond back with OK or not in time to allow cancelling or confirming the reservation within that timeframe.

    It sounds so last century, but Geraldine Blanchard remembers a time when only travel agents or airlines could book flights for passengers.

    Those days flew by the wayside in the 1990s, with the advent of technology that allowed everyone with Internet access to work directly with airlines and travel providers to reserve their own passage, by land or sea. Travel agencies nationwide suffered and, in many cases, downsized or closed

    “It was like everyone became a travel agent, or thought they were,” said Blanchard, vice president and co-owner of Global Tours Travel of Melbourne.

    But increasingly, certain segments of the traveling public appear to be returning to travel agents to do their booking and oversee their journeys.

    It’s not all good news, at least job-wise. According to the Bureau of Labor Statistics, there were 64,680 full-time travel agents in 2012. A decade before, there were 95,360.

    Revenues, however, have gone up. Travel agencies generated $17.5 billion in revenue in 2011, up from $9.4 billion in 2002, according to the Census Bureau. Part of that is due to higher pricing, but it also can be attributed to increased productivity thanks to technology. For instance, agencies used to have a backroom of agents who put together paper tickets and mailed them to clients.

    However it happened, Blanchard is pleased — and busy.

    “The pendulum is going the other way once again,” said Blanchard, whose business is 18 years old. “And it’s wonderful for us.”

    At 72, Shirley Fulton wouldn’t dream of taking off on a trip without conferring with her preferred travel agency, Cruise Holidays of Viera.

    Just in the past year or so, the Brevard resident has taken several cruises — the longest, 15 days, and the shortest, two-day jaunts. Some are with girlfriends; she’s also gone on group trips led by Larry and Lynda Jackson, owners of Cruise Holidays.

    She feels safer and, in turn, has more fun, she said of going that route.

    “I’ve gotten lazy and old and, I’d like to think, smarter,” Fulton said, laughing.

    “I thought I’d be paying more by using a travel agent, but that’s not the case. I like the fact that I can call Larry and Lynda and say, ‘I’m not doing anything next June. Whatcha got going? Any specials?’ And if a problem arises, you’re not hung out to dry with some airline or cruise ship, where you don’t know how to handle what’s going on. A travel agent handles it for you.”

    Adam Weissenberg, vice chairman and leader of Deloitte’s U.S. Travel, Hospitality and Leisure practice, said travelers are more willing to turn to professionals when they’re dealing with unusual locations or high-end luxury and specialized travel. More senior travelers are also more likely to seek help, he said.

    “I think even though online continues to grow, there will always be demand for that personal level of service for certain segments of the traveling population,” he said.

    Larry Jackson, a former stockbroker, remembers clearly the late 1990s, when online travel businesses became popular and consumers sought deals on the Internet rather than via travel experts.

    For a time, “It almost became like the national pastime, to see who could get the cheapest deal online,” said Jackson, whose Cruise Holidays is now 10 years old.

    “It turns out, the cheapest cruise might not be the best for you,” he said. “So you wind up on the wrong vacation for you, in the wrong place. Especially today, with the money people are spending on vacations, people are being more careful.”

    But for some tech-savvy people, the appeal of doing it themselves outweighs any benefits gained by using an agent,meaning some uncertainty is likely to continue for the industry.

    A trio of travelers waiting for a Charlotte-bound flight at Melbourne International Airport said though they’ve used travel agencies, they prefer the self-serve option.

    Joni Slattery, who has relatives in Florida, did all the planning for a trip for herself and colleagues Dottie Patria and Christine Tarr — visit to Walt Disney World included.

    For Slattery, a convenience store owner in Maine, much of the appeal of doing it herself is about control.

    “I like to choose where I’m going to sit; know exactly how long the connection time is going to be,” she said.

    “I don’t want it to be 30 minutes, but I also don’t want it to be six hours. I could use a travel agent, but I can also do it myself.”

    And Carl and Nicole DeMaria, who live in Atlanta and just bought a home in Vero Beach, said Nicole’s never failed to book trips that went off without a hitch. They travel several times a year, often with their dog, Ellie, and do all their booking online.

    “Any vacation we do, Nicole plans,” said Carl, fresh off a flight from Georgia. “We used a travel agent for a trip to Greece and everything was wrong.”

    Those who have long sworn by travel agents, though, say they’ve established relationships that ultimately save time and any hassle.

    “If I have to go online and look for flights and tickets, well, it takes time to do all that,” said Joe Schmitt, president of Certified Thermographic Services Inc. of Palm Bay.

    “I can make a call, and my agent will come back to me and say, ‘Here’s what you want to do.’ And if there’s a problem, or if I want to make a change or if I have a question, I have a one-stop shop as far as travel goes.”

    Travelers find that agents can beat do-it-yourself online deals.

    A few years ago, travel agents appeared to be sailing into the sunset as options for booking vacations online flourished. But business has been booming. The American Society of Travel Agents reports that about 75% of its members say revenues, transactions and number of clients rose or remained steady in the first half of 2011 compared with the first half of 2010.

    The more complex or luxurious the trip, the more useful an agent can be. Agents have an inside track on deals and upgrades, and they can quickly solve problems or change plans while you’re on a trip, says industry consultant Mark Murphy, at Travalliancemedia. In some cases, travel agents don’t charge their clients—for example, an agent who books a cruise may earn a 10% commission from the cruise line. Others impose booking fees—say, $30 for an airline ticket—or require a deposit that they’ll keep if you cancel.

    What are your rights if something goes wrong with the holiday you booked through a travel agent?

    When you book a plane ticket or a hotel room, your contract is with the airline or hotel. The travel agent who handles the bookings has the job of arranging the contract.

    But travel agents remain responsible for their own work, and must carry it out according to the standard of “reasonable care and skill” required by the Consumer Guarantees Act. The Fair Trading Act also applies. They cannot mislead you. But other problems can arise.

    When you book

    Make sure your agent knows your requirements. If you have special needs, put them in writing and keep a copy for yourself. If you amend your plans, let the agent know in writing.

    Be sure to read all the small print on brochures and always ask about the booking conditions before you sign anything or hand over money. Check all your documents as soon as you get them.

    Make sure you have suitable travel insurance.

    If things go wrong

    If you’re away, contact the nearest representative of the tour operator and give them the opportunity to rectify the situation at the time. If you’re not satisfied, let them know, and follow it up when you get home.

    Make notes about any problems you want to take up and, if it’s appropriate, take photos and get the contact details of others who will support your case. Keep receipts and any documentation that will help with a claim for compensation.

    When you complain

    Write to the agent, wholesaler or tourist operator directly and give then the opportunity to put things right. Include copies of all relevant receipts and other documents.

    If you think you are due compensation, add up how much the problem cost you in real terms and estimate the value of lost opportunities.

    If you cannot reach a settlement with the company, write to TAANZ. It doesn’t pay compensation, but it may reprimand the agent if there has been a breach of its code of ethics or rules.

    If the company still won’t pay, take your case to a Disputes Tribunal. This is relatively cheap and there are no lawyers involved.

    Tricky questions

    You paid in advance for a once-in-a-lifetime adventure in Patagonia, but the airline never got the money and now the agent has gone out of business. Can you get your money back?

    TAANZ will pay up to $250,000 for unticketed bookings if a member agency goes bust.

    Yes, if you booked with a bonded member of the Travel Agents Association of New Zealand (TAANZ). But probably not, if your agent is not bonded.

    TAANZ will pay up to $250,000 for unticketed bookings if a member agency goes bust. This would cover all or most outstanding ticket monies. But note that TAANZ won’t pay for bad service. Some agents have their own bond schemes, but most belong to the TAANZ system.

    With an unbonded agent, you will have to stand in line as an unsecured creditor, and you’ll be lucky to see any of your money at all.

    You have booked and paid the deposit on a holiday package to Belfast. But now the agent says it’s wonderful what peace will do for a country’s tourism, and wouldn’t you know it, the price has gone up. Do you have to pay the extra?

    Probably. When you paid the deposit you formed a contract with the wholesaler or tour company, and this will have included your acceptance of the booking conditions. Most agents and wholesalers reserve the right in their conditions to pass on price increases.

    But they must give you the chance to read the conditions before you sign. If they don’t make you aware of them, or lead you to think there will be no price increase and then charge you one, they are at fault. You shouldn’t have to pay the extra.

    At the end of a very tiring week in Beijing you arrive at the airport and, even though you phoned to reconfirm your flight as required, you discover you’ve been “bumped”. There’s no seat for you. What can you do?

    This has nothing to do with your travel agent. Airlines know some travellers won’t turn up so they often overbook planes. It’s their responsibility and there are international agreements set in place as to what they must do for you. In this case they should make arrangements for further flights, accommodate you and compensate you for any losses you incur.

    You probably won’t get anything if the delay is short, but if that missed Beijing flight means you miss the Hong Kong connection to Auckland as well, the airline will have to sort it out.

    You’re going to treat yourself to a week in the sun in New Caledonia, but right after you pay the deposit, your car dies. You need a car; you don’t need the holiday. Can you get your money back?

    It depends on your contract. Most specify there will be a cancellation fee and how much it will be. Very often you will lose all your deposit. Some contracts are so tough, if you cancel close to your departure date you will lose most of what you have paid for the fare.

    Always check the contract before you book. Your travel agent should point out the cancellation details to you at the time of booking and suggest travel insurance if appropriate.

    Your hotel bookings in London’s West End are confirmed, but when you arrive with your voucher the proprietor says the hotel is full. He sends you to another he owns near Battersea. It’s still London, but it’s nowhere near the theatres and restaurants you had so wanted to be close to. What can you do?

    Again, this is not your agent’s fault. You will have to do your fighting with the hotel or, if the accommodation is part of a tour package, with the wholesaler who runs the package. Check the booking conditions of your tour as some reserve the right to change accommodation and tour details as necessary.

    You have prepaid your ferry ticket to your Greek island resort but when you arrive at the ferry you discover you have no voucher for it. You haven’t misplaced it, the agent didn’t give you one. What can you do?

    You’ll have to pay again. But keep the receipt and claim the fare back from your travel agent when you get home.

    You book a holiday in Thailand intending to go diving. You made your intentions very clear to the agent, to the point of asking about the hire of diving gear. But when you arrive you discover it is the monsoon season, there are no dive trips running and that this is normal for this time of the year.

    If you have made your intentions clear to the agent, they have not performed their job with reasonable skill and care. Nor have they provided you with a holiday that was “fit for its purpose”. You can claim compensation. But if they advised you against the trip and you ignored this, the responsibility is yours.

    You want to take the family to Vanuatu, and ask the agent to check whether childcare is available. In your presence he rings the wholesaler, who says it is always available. But when get there, you discover the childcare programme only runs in the peak season. This is not the peak season. Who is responsible?

    The wholesaler. You should try for compensation.

    You have booked and prepaid a rental car in France. When you turn up, you are met with a wall of Gallic shrugs. The company, it seems, has gone bust. What can you do?

    Call your travel insurer. If the car-hire firm went out of business after you confirmed your arrangements, they should compensate you for alternative arrangements and may even make them for you.

    If your agent booked you with a company that was already out of business, it will have to pick up the tab.

    The agent tells you your departure tax has been included in the cost of your air ticket. But your ticket doesn’t show this and the friendly but very firm staff at the airport insist you pay again. What can you do?

    Pay, or they won’t let you on the plane. Make sure you keep your receipt and claim from the agent when you return.

    You thought travel agents worked for the airlines and hotels. So how come they want to charge you a fee?

    Travel agents are paid on commission by the companies selling travel and accommodation. But many of those commissions have fallen recently, and some agents are making up for this by charging customers directly.

    This changes their legal responsibility. If you pay for advice, for bookings to be made or tickets issued, the agent will have more direct liability if something goes wrong.

    You asked a travel agent to get you to Europe and it turns out the best deal involves a stopover in China. When you get there you are not allowed in the country because you don’t have a visa. Shouldn’t the travel agent have sorted this?

    You should always double-check that you have the right visa to enter, travel and/or work in the country you are headed to. This is primarily your responsibility. However, if you asked the agent to specifically sort this out for you, then make a claim for compensation from the agent.

    Finding a quality host agency is critical to your success as an independent travel agent. As you might expect, host agencies are all very different so spend some quality time researching which host makes sense for you. Here are a few things to look for in a host agency;

      They already work with successful independent agents

    They do not have any unresolved complaints against their agency

    They are committed to developing a professional independent agent network

    They do not have a “travel agent recruiting other travel agents” program.

    They do not tout “travel agent ID cards” to obtain travel discounts.

    They offer meaningful commissions and overrides

    It really doesn’t matter where the host agency is located so don’t get locked into the idea that they have to be down the street from your operation. There are several solutions to the issues of access, communication and delivery that resolve the question of location.     NACTA has a membership for host agencies and the minimum standards for a host agency to qualify for this program are as follows:

      Must have been in business as a host agency for at least one full year

    Must carry at least one million dollars in Errors and Omissions Insurance or require all independents to maintain their own current policies.

    Average sales volume per independent agent must exceed $10,000.00

    There are no unresolved complaints against Host agency

    Committed to the development of a professional independent travel agent network

    Registered to operate as a host agency with all local, state and federal governments as required

    Do not have a “recruitment program” whereby consumers recruit other consumers into the network as a higher priority than individual travel sales.

    Frequently Asked Questions about Host Agencies

    Why do I need a host agency?

    Most Independent Travel Agents find it necessary (and desirable) to associate with a host agency for the purpose of obtaining domestic airline tickets, override commissions, marketing support, expertise, automation, quality control, clout, operational support and many other reasons that may be a combination of the above.

    How do I know which host agency to choose?

    Long before you choose your host agency you should develop a business (and marketing) plan so that you understand the nature of the business you intend to develop. If you plan to specialize in selling cruises you will probably want to find a host agency that specializes in working with a cruise specialist. Conversely, if you plan to specialize in handling corporate accounts, you will want find a host agency with the expertise and support mechanism, to make you successful. It is highly unlikely that a cruise specialist can help you if you want to sell corporate accounts and vice versa.

    Why does one host agency charge $7,500.00 and the next charge $300.00?

    Host agencies are just like other businesses. One may specialize in recruiting brand new agents and have a heavy concentration on training and start up integration into their network. The very next may simply recruit experienced agents and offer no training or integration support whatsoever. Common sense should lead your way through this maze. If the host agency you are looking at is charging $7,500.00 and giving you nothing but simply paying for their marketing cost of finding new agents, then look somewhere else. But, If you can easily see the value in a host agency charging even say, $10,000.00, then that may be a wise decision to make concerning your future.

    What is the best computerized reservation system (CRS) or GDS to use?

    Many new agents think the sun rises and sets on access to the CRS in the travel industry. Their first concern is “what computer software do I need to book travel”. For the most part, CRS (Computerized Reservations System) or GDS access is not really necessary unless you are going to be booking a lot of domestic airline tickets. Many host agencies offer Internet access to their CRS or GDS and others may offer dial up access via modem. The decision on which host to pick should not be based on the type of CRS access they offer, but on the level of support and overrides they offer as it pertains to your business plan.

    What should I look for in a host agency?

    There are quite a few things to look for in terms of how a host agency pertains to your business plan. Generally, however, these are the things that NACTA looks at. How long have they been in business? Does the host agency carry Errors and Omissions Insurance? What is the average sales volume per independent agent? How many independent agents belong to the network? Are there any unresolved complaints against the agency with the Better Business Bureau, the State Attorney General’s Office, or the FTC? Agencies appearing on these links have all passed these standards.

    What about the $495 instant travel agency deals or Card Mill organizations?

    Think about it. If all anyone had to do was pay $495 and then fly first class, stay in suites for free, and take cruises for $10 per day, who would pay full fare? If you really believe you can do all of this for $495, then you probably deserve to lose the money anyway. The truth is that when these operations first started they were able to fool some of the suppliers with phony ID cards and receive travel discounts, but the industry is wise to them now and it is going to be difficult (if not impossible) to fool anyone into accepting phony ID cards. There are some host programs that do charge a start up fee of around the $495 amount but what they include or offer can be on the up and up. Check carefully. If it sounds too good to be true, it probably is!

    We have just booked a holiday to benidormin this october, we had paid 510 pound on the 18th aug to this company, and then because we had to change the dates due to work, they charged us another 250 pounds. We have just foned this number we had all the time, and they are saying they have no recollection of us paying any money. We are fuming, they have said now that there is no reference number to this number to this holiday.

    They re atrocious.

    Paid over 2K for 10 day holiday via Jetline in Ios, Greece. They didn t book the hotel! We turned up after a 14 hour journey to find this out.

    The hotel staff at Dionysos resort were excellent and sorted us out with alternative accommodation as best they could but it s not what they paid for. If it hadn t been for them we would have been really stuck.

    Took multiple emails to Jetline to get any response at all (they woke when we contacted them via Twitter Facebook). It was weeks afterwards we got some small amount of compensation, after rejecting a derisory first offer. We were to worn out by the constant uselessness of them to carry on fighting.

    Our experience was to be: a) ignored at first b) fobbed off for a while c) be offered a small amount of money (with a patronising note).

    To recap: Paid Jetline 2k. They didn t book the hotel. They did nothing to help sort out an alternative. Gave us a small amount of money back.

    Want this experience? No? Then I recommend giving Jetline a wide berth.

    T he online travel booking industry is a multi-billion dollar industry, and that fact alone means there are many sites vying for your travel booking business.  The online travel industry is evolving quickly, and there are new competitors with new business models appearing every year.

    In this article we will focus on the largest and best online travel agencies.  These are sites that can book you with all the well known airlines, hotels and car rental companies.  These sites can also book travel for cruises and vacation packages worldwide.

    Largest Online Travel Agents: The Big 3

    Expedia is the largest online travel agency in the world.  Quantcast estimates 10.2 million visitors in January 2009.  Expedia has been around since 1996 and can meet most of your travel booking needs.  Expedia also offers a low price guarantee on any travel booked through them.  Expedia also offers a rewards program .

    Travelocity is the second largest of the big 3, with a Quantcast estimated 6.1 million visitors in January 2009.  From a features and price perspective, Travelocity is very similar to Expedia, and they too offer a guarantee.  In addition to a low price guarantee. Travelocity also offers a 24 hour change or cancellation guarantee.  If you purchase an electronic airline ticket and notify them of a change to the dates, names, or flight times within 24 hours of your purchase, they will cancel your airline ticket without charging you a fee.

    The smallest of the big 3, Orbitz was originally established through the partnership of various airlines in an effort to compete with Expedia and Travelocity.  As of January 2009 Quantcast shows a visitor count of 5.4 million.  Functionally, Orbitz is the equivalent of Travelocity and Expedia, and as you might expect, they too offer a airfare price guarantee .  Orbitz also offers guarantees on hotel and car rentals.

    Online Travel Agency Contenders

    There are litterally thousands of online travel agencies, with each one trying to distinguish themselves in some way.  Some of these sites use technology as a differentiator, some use customer service while others book travel in a particular niche.

    Cheap Tickets is owned by Orbitz, so you are not likely to see much difference in the price between what you find on Orbitz and what you find on Cheap Tickets.

    Priceline is the leader in truly discounted travel rates with a Quantcast estimated 4.8 million visitors in January 2009.  Priceline s unique offering is their Name Your Own Price model, where you can place a bid for what you are willing to pay for airfare, hotels and car rentals.  It takes a little practice to understand the nuances of travel price bidding, but the results can be dramatic.

    Hotwire is the number two player in the discount travel agency industry.  Hotwire lets you search for air travel, hotels, and car rentals, but they don t show you exactly which airline, hotel, or car rental agency you will be booked with.  This model allows the travel companies to discount their rates without publishing the discount.  Great deals are often available through Hotwire.  Be aware though that, similar to Priceline, their cancellation policies are usually more restrictive than the full service travel agencies.  Hotwire is owned by Expedia.

    As their name might suggest, Hotels.com focuses on booking hotels.  They offer very competitive rates and are a good option for booking hotel travel.  Hotels.com will also allow you to book flights and vacation packages.  Hotels.com is owned by the same company as Expedia, so expect the same rates on air travel as you would get with Expedia.

    Another full service online travel agency that allows you to book air, hotel, and car rentals.  CheapOair also has a price guarantee.  CheapOAir has struggled in past years with customer support.

    Yet another full service online travel agency that allows you to book air, hotel, and car rentals.  OneTravel also has a price guarantee.  There are no special features at OneTravel to distinguish them from the rest.

    This site is focused hotel bookings.  Booking.com is owned by Priceline.  They offer a low price guarantee and all their hotel bookings are free.  They boast access to 57,000 hotels worldwide.

    CheapAir.com is primarily focused on air travel.  They attempt to distinguish their offering from others through their intuitive interface.  Their air travel rates are competitive with the leaders in the industry.

    Smartfares.com is a very vanilla looking online travel agency.  There is really nothing about their site that distinguishes them from the competition.  You can book air, hotels and cars on Smartfares.

    A relatively new entrant in the online travel agency market, Bookit.com certainly has a website that looks distinctly different than many of the others.  The one thing that distinguishes them from the rest is their aggresive use of their trademarked FROM technology.  Once you tell them where you are travelling from, they customize the site to show you deals and offers from that departure point.

    Lastminute.com is number one for sites that focus the user experience and their offerings on last minute travel.  You can book air, hotel, and cars through LastMinute.com.  LastMinute.com is owned by Travelocity.com, so expect their pricing to be the same as Travelocity s.

    Ooh – BAD timing for travel to Hawaii – and if not booked by now you probably just about have to have a travel agent. Good thing this is just the honeymoon and not the wedding, if you are booking now – so an agent will be even more important to you in this case, though I guess you might get a decent deal with an airline-sponsored package deal for two as well, if any are still available.

    My experience – a good travel agent is worth their weight in gold – we give ours a thank-you gift each year. We have one that charges $35 a person fee for all but extensive foreign travel packages (they make most of their money off booking commissions). We use her for all travel except simple mileage-plan-paid there-and-back trips when there is no rental car or motel involved, because when she does the booking she generally saves us about $25-50/day just on rental car and hotel/motel. For instance, on one Disney World trip we were able to take the 4 in the family PLUS our kid’s two best friends for about 5 days there, staying on-property with preferred passes, for the same amount as just the normal two adult cost – a thousand plus in savings. We can go online and see zero mileage or discount seats available for an entire week – yet she is able to get us seats on the day we want in most cases, or at worst one day away, and almost always on mileage even though the airlines themselves say no mileage seats are available – including at high travel periods.

    Of course, you need a conscientious one with lots of experience who knows the system ins and outs, and preferably running on the Sabre reservation system because it shows a lot more than competing systems and makes finding alternative booking easier, as I understand it.

    Using a travel agency (preferably one with several people working there and 24-hour emergency service) also gives you a firm point of contact to solve any problems or rescheduling – we have had 10 minute rebooking several times when a flight was cancelled – generally before the airline even got around to starting to help passengers get on other flights, and an agent carries a LOT more weight with rental car agencies or hotels or airlines than you do if the reservation is screwed up by them. Oh, and our agent always gets us a free car upgrade too – typically jumped up 2 grades at no extra charge.

    Don’t leave it ALL to the agent – give a synopsis of what type of lodging and seating and such you want and things you want to visit, then let him/her come back with a concept plan for approval modification, then to a hold reservation for your approval – typically an agent can put a “hold” on reservations for 24-48 hours for your approval, though that does require you stay on top of your eMail to respond back with OK or not in time to allow cancelling or confirming the reservation within that timeframe.

    A few years ago, travel agents appeared to be sailing into the sunset as options for booking vacations online flourished. But business has been booming. The American Society of Travel Agents reports that about 75% of its members say revenues, transactions and number of clients rose or remained steady in the first half of 2011 compared with the first half of 2010.

    The more complex or luxurious the trip, the more useful an agent can be.     ARC has also created a Verified Travel Consultant (VTC) program, a different accreditation for agents choosing not to sell airline tickets. This status still gives an agent the opportunity to be listed on the Agency List File with the associated VTC number, to be recognized as an ARC appointed agent, without airlines sales. Agents may brand themselves with their own name, rather than a host agency and receive commissions from the ARC MarketPlace® and Helix commissions.

    When ARC was establishment in 1984, they were advised by the U.S. Department of Justice that it could bring an enforcement action in the future if the actual operation of ARC travel agency program proves to be anti-competitive in purpose or effect. ARC must remain non competitive, and unobtrusive to travel agencies.

    Travel agents are beginning to question whether the ARC MarketPlace® will violate the anti-competitive agreement.

    Helix, also established from ARC in early 2011, enables travel agencies to work directly with preferred suppliers and earn commissions. For 2012, there will be $179 enrollment fee, but they do offer discounts for longer commitments. There is no minimum volume to join. VTC agencies or ARC-accredited agencies may join. Agencies keep 100% of the commissions earned. They also offer agent training to become specialists with various vendors and other training opportunities. Some of the training such as webinars, familiarization trips and more, may already be offered from vendors by being an ARC registered agency.

    So, what is the controversy with ARC branching out in these selling directions?

    1. ARC MarketPlace® and Helix are direct competitors with businesses such as Travelbound, Shoretrips and Agent.net, plus other consortiums used by travel agents.
    2. Tour operators are likely to report airline sales through ARC. What does ARC do with the information reported by these air selling companies? How are ARC air ticketing sales information from agencies and tour operators kept separate from ARC MarketPlace® and Helix? Will volume, air carrier breakdown, and service fees all be tracked? These are controversial questions interested observers are watching.
    3. Can ARC continue to be neutral as a regulatory body of travel agencies when they have preferred suppliers among their programs, which also work with travel agencies and sell airline tickets?
    4. Host agencies that supply accreditation to independent agents may also suffer with the VTC program, making the host agency possibly less necessary to sell travel.
    5. Is it just a plain conflict of interest be a regulatory agency and being in the selling business with the same vendors being regulated, even though the companies are said to be independent of each other?

    The Association of Retail Travel Agents (ARTA) filed a complaint with the U. S. Department of Justice, Antitrust Division. in early 2011, stating that ARC s foray into commercial endeavors which allegedly exceed the business model approved by the DOJ when ARC was incorporated. They believe ARC has strayed from its initial appointment as airline ticketing settlement services and accreditation.

    What are your rights if something goes wrong with the holiday you booked through a travel agent?

    When you book a plane ticket or a hotel room, your contract is with the airline or hotel. The travel agent who handles the bookings has the job of arranging the contract.

    But travel agents remain responsible for their own work, and must carry it out according to the standard of “reasonable care and skill” required by the Consumer Guarantees Act. The Fair Trading Act also applies. They cannot mislead you. But other problems can arise.

    When you book

    Make sure your agent knows your requirements. If you have special needs, put them in writing and keep a copy for yourself. If you amend your plans, let the agent know in writing.

    Be sure to read all the small print on brochures and always ask about the booking conditions before you sign anything or hand over money. Check all your documents as soon as you get them.

    Make sure you have suitable travel insurance.

    If things go wrong

    If you’re away, contact the nearest representative of the tour operator and give them the opportunity to rectify the situation at the time. If you’re not satisfied, let them know, and follow it up when you get home.

    Make notes about any problems you want to take up and, if it’s appropriate, take photos and get the contact details of others who will support your case. Keep receipts and any documentation that will help with a claim for compensation.

    When you complain

    Write to the agent, wholesaler or tourist operator directly and give then the opportunity to put things right. Include copies of all relevant receipts and other documents.

    If you think you are due compensation, add up how much the problem cost you in real terms and estimate the value of lost opportunities.

    If you cannot reach a settlement with the company, write to TAANZ. It doesn’t pay compensation, but it may reprimand the agent if there has been a breach of its code of ethics or rules.

    If the company still won’t pay, take your case to a Disputes Tribunal. This is relatively cheap and there are no lawyers involved.

    Tricky questions

    You paid in advance for a once-in-a-lifetime adventure in Patagonia, but the airline never got the money and now the agent has gone out of business. Can you get your money back?

    TAANZ will pay up to $250,000 for unticketed bookings if a member agency goes bust.

    Yes, if you booked with a bonded member of the Travel Agents Association of New Zealand (TAANZ). But probably not, if your agent is not bonded.

    TAANZ will pay up to $250,000 for unticketed bookings if a member agency goes bust. This would cover all or most outstanding ticket monies. But note that TAANZ won’t pay for bad service. Some agents have their own bond schemes, but most belong to the TAANZ system.

    With an unbonded agent, you will have to stand in line as an unsecured creditor, and you’ll be lucky to see any of your money at all.

    You have booked and paid the deposit on a holiday package to Belfast. But now the agent says it’s wonderful what peace will do for a country’s tourism, and wouldn’t you know it, the price has gone up. Do you have to pay the extra?

    Probably. When you paid the deposit you formed a contract with the wholesaler or tour company, and this will have included your acceptance of the booking conditions. Most agents and wholesalers reserve the right in their conditions to pass on price increases.

    But they must give you the chance to read the conditions before you sign. If they don’t make you aware of them, or lead you to think there will be no price increase and then charge you one, they are at fault. You shouldn’t have to pay the extra.

    At the end of a very tiring week in Beijing you arrive at the airport and, even though you phoned to reconfirm your flight as required, you discover you’ve been “bumped”. There’s no seat for you. What can you do?

    This has nothing to do with your travel agent. Airlines know some travellers won’t turn up so they often overbook planes. It’s their responsibility and there are international agreements set in place as to what they must do for you. In this case they should make arrangements for further flights, accommodate you and compensate you for any losses you incur.

    You probably won’t get anything if the delay is short, but if that missed Beijing flight means you miss the Hong Kong connection to Auckland as well, the airline will have to sort it out.

    You’re going to treat yourself to a week in the sun in New Caledonia, but right after you pay the deposit, your car dies. You need a car; you don’t need the holiday. Can you get your money back?

    It depends on your contract. Most specify there will be a cancellation fee and how much it will be. Very often you will lose all your deposit. Some contracts are so tough, if you cancel close to your departure date you will lose most of what you have paid for the fare.

    Always check the contract before you book. Your travel agent should point out the cancellation details to you at the time of booking and suggest travel insurance if appropriate.

    Your hotel bookings in London’s West End are confirmed, but when you arrive with your voucher the proprietor says the hotel is full. He sends you to another he owns near Battersea. It’s still London, but it’s nowhere near the theatres and restaurants you had so wanted to be close to. What can you do?

    Again, this is not your agent’s fault. You will have to do your fighting with the hotel or, if the accommodation is part of a tour package, with the wholesaler who runs the package. Check the booking conditions of your tour as some reserve the right to change accommodation and tour details as necessary.

    You have prepaid your ferry ticket to your Greek island resort but when you arrive at the ferry you discover you have no voucher for it. You haven’t misplaced it, the agent didn’t give you one. What can you do?

    You’ll have to pay again. But keep the receipt and claim the fare back from your travel agent when you get home.

    You book a holiday in Thailand intending to go diving. You made your intentions very clear to the agent, to the point of asking about the hire of diving gear. But when you arrive you discover it is the monsoon season, there are no dive trips running and that this is normal for this time of the year.

    If you have made your intentions clear to the agent, they have not performed their job with reasonable skill and care. Nor have they provided you with a holiday that was “fit for its purpose”. You can claim compensation. But if they advised you against the trip and you ignored this, the responsibility is yours.

    You want to take the family to Vanuatu, and ask the agent to check whether childcare is available. In your presence he rings the wholesaler, who says it is always available. But when get there, you discover the childcare programme only runs in the peak season. This is not the peak season. Who is responsible?

    The wholesaler. You should try for compensation.

    You have booked and prepaid a rental car in France. When you turn up, you are met with a wall of Gallic shrugs. The company, it seems, has gone bust. What can you do?

    Call your travel insurer. If the car-hire firm went out of business after you confirmed your arrangements, they should compensate you for alternative arrangements and may even make them for you.

    If your agent booked you with a company that was already out of business, it will have to pick up the tab.

    The agent tells you your departure tax has been included in the cost of your air ticket. But your ticket doesn’t show this and the friendly but very firm staff at the airport insist you pay again. What can you do?

    Pay, or they won’t let you on the plane. Make sure you keep your receipt and claim from the agent when you return.

    You thought travel agents worked for the airlines and hotels. So how come they want to charge you a fee?

    Travel agents are paid on commission by the companies selling travel and accommodation. But many of those commissions have fallen recently, and some agents are making up for this by charging customers directly.

    This changes their legal responsibility. If you pay for advice, for bookings to be made or tickets issued, the agent will have more direct liability if something goes wrong.

    You asked a travel agent to get you to Europe and it turns out the best deal involves a stopover in China. When you get there you are not allowed in the country because you don’t have a visa. Shouldn’t the travel agent have sorted this?

    You should always double-check that you have the right visa to enter, travel and/or work in the country you are headed to. This is primarily your responsibility. However, if you asked the agent to specifically sort this out for you, then make a claim for compensation from the agent.

    What makes a top travel agent? Is it something easy to measure sales volume, perhaps? Or is it something less tangible pure dedication and willingness to go above and beyond for a client? Or is it some sort of combination of the two? Looking to find answers to this query, Travel Agent invited our readers to tell us why they were the toppers in their field. Some agents are home-based and part of a larger parent company. Some are in small, independent businesses. Some are part of huge corporations. As always, everyone had wonderful stories about the challenges and triumphs of being a travel agent, making it very difficult for us to select just 25.

    Berta Aizen specializes mainly in European and Latin American destinations at Frosch Travel, but does not limit herself in where she can send her clients. Aizen understands customer loyalty, and guides her clients through trips that are best suited for them. Clients take her advice and suggestions, making her closure rate above 90 percent.

    In July 2012, Aizen had a family of five travel to Argentina and Brazil. One of their flights was cancelled from Cordoba to Buenos Aires due to a strike, she says. They had a prepaid/nonrefundable hotel in Buenos Aires where they were going to stay the night to depart the next morning to Iguazu Falls. Aizen was able to get the family aboard a flight from Cordoba to Iguazu on a different airline, and even got a refund after communicating with the hotel and airline.

    Planning a trip for a family of 35 people traveling by charter to France and Barcelona presented its share of challenges. For starters, Aizen made sure to hire two guides, one for the adults and another for the children. The family stayed at five-star hotels and a 16-room villa in Provence. Private tours were offered along with a private coach, cooking class and yacht on the Seine River. Wine tasting was available for the adults, while the children went on a scavenger hunt.

    Berta wrote the book on how to create successful relationships with both her guests and suppliers, says Marc T lio, president, Entr e Destinations. She understands loyalty and is a true proponent for building successful partnerships, so her sales speak volumes.
