How to send encrypted emails the easy way

Hackers and government agencies are reading your email, so protect yourself by using encryption

How to send an encrypted email in outlook

Sending an unencrypted email is often likened to a postcard, in that anyone who wants to read it only has to take a look to see the contents. Obviously this isn t good, especially when you need to send personal information to someone else, such as your bank details. The way to get total privacy is to encrypt your email, and there are a number of ways to do that. We’ll explain them, and we’ll show you a supremely easy way to send an encrypted message that wills self-destruct after 30 seconds, just like in Mission Impossible.

How to send encrypted emails: Using Gmail and Outlook settings

Most of us use email because it s convenient and easy to retrieve from almost any electronic device we own. The thought then of up upping sticks and moving to a brand new, high-security service isn t exactly appealing. So it s good to know that there are some less drastic options open to users of Gmail and Outlook.

Back in 2014 Google announced that it was making encryption in Gmail the default setting for all users. This means that so long as you are using the official Gmail apps or accessing Gmail through the Chrome browser then your email is already encrypted.

But, and this is a big but, this only holds true if the person you re sending your messages to is also using Google apps. Once the email leaves the Google servers, say when you send it to your friend who uses Yahoo Mail, then the encryption is no longer applied, as otherwise the receiver wouldn t be able to read it. So while this is certainly a big step towards security, it does leave some rather large holes that could compromise your privacy.

Then of course there is the issue that Google itself, or at least software created by the company, scans your emails for keywords so that it can serve ads that will be applicable to your interests. In many ways it s the price you pay for the free service. Google of course maintains that the content is never actually read by anyone, but if you are worried about the sanctity of the data it might be better to use a plugin such as which we explore below.

With the business world always in the mind of Microsoft, it s not surprising to find built-in features for encryption in Outlook for those with an Office365 subscription. Setting it up is a little more challenging though, but then that is often the trade off with any security feature. The first thing you ll need to do is exchange digital signatures with your recipient so that both of you will be able to unencrypt the messages. To create these you ll need to follow the Secure email messages by using a digital signature guide on the Microsoft site.

With this accomplished you can write your email, then when you re ready to send it select Options More Options Message Options Security Settings Encrypt message contents and attachments.

Sadly these features are not available on or in the new Mail app for Windows 10, as they are retricted to paid subscribers.

How to send encrypted emails: Using a secure email provider

If you want to ensure that your missives remain private then it s probably best to use a secure service rather than the normal mainstream offerings. There are a number of decent alternatives out there, with Tutanota, Ghostmail, and Protonmail all proving excellent options. At the moment you can have free accounts on these, although they do come with restrictions on usage in regards to the size of emails you can send and the storage available. Protonmail also has a waiting list for the free account, although when we joined recently the delay was only a couple of days.

Secure services either require the recipient to also be a member of the platform, or to possess a password you give them to unlock each email. This might seem cumbersome when compared to the likes of Gmail, but is a necessary level of security that is very effective against hackers and government agencies.

If you re happy to use an IM style of communication then Mega offer a secure chat feature as part of its free cloud storage package. Again your recipient would need to be a member, but as it doesn t cost anything and also affords you 50GB of storage, this might actually be quite enticing.

How to send encrypted emails: Using temporary services such as

Another method is to use software that deletes the messages shortly after they ve been read. As an example for how one of these secure message service works we signed up to Snapmail, which allows users to send self-destructing text emails for Gmail . It all feels very James Bond, but is actually quite easy to get to grips with and involves almost no international villainy.

The first thing to do, assuming of course you use Gmail, is to visit the Chrome web store and search for Snapmail. When you ve found it click the Add to Chrome button and the extension will be installed.

Now click the three lines in the top right of the screen and from the drop down menu that appear select More tools Extensions, then scroll down until you find Snapmail and ensure that it is enabled.

To send an encrypted email you ll need to launch Gmail, compose your message, then you ll notice that there is now a Snapmail next to the Send button at the bottom of the window. This means you can choose to only encrypt certain emails rather than every one, but remember that any sent by Snapmail will automatically be deleted. Click the Snapmail button to encrypt your message.

When the email arrives in your recipient s inbox it s accompanied by the warning that it will self-destruct 60 seconds after they open it. Sadly there are no voice messages or puffs of smoke to add to the drama.

It s worth contacting the recipient before you send the email, as the Snapmail one does look a little suspicious, requiring you to click on a link. Usually we d advise strongly against this as it s how most phishing attacks take place, fooling the user into clicking on a link to a false version of a website where you unwittingly enter your account details. But in this case it s actually helping you instead.

    When it comes to saving or backing up email messages, you have multiple options. You can create a PDF copy of the email message or use an email backup program to backup all messages in your inbox. But what if you want to easily backup individual email messages?

    Luckily, backing up or saving individual email messages is easy in Windows 10, especially if you have already added your email account to the built-in Windows 10 Mail.

    Use Mail app to save email messages in Windows 10

    The built-in Mail app in Windows 10 enables you save individual email messages so that you can open them either using the Mail or third-party programs when required.

    All email messages saved using the Mail app will have .eml extension. As you likely know, all major email clients including Windows Live Mail and Mozilla Thunderbird support the .eml extension. This means that, the backed up or saved email can be opened with other desktop email clients as well.

    How to back up or save individual email messages in Windows 10 using Mail app

    Step 1: Launch the built-in Mail app. Add your email account, if not already done.

    Step 2: Open your email message that you want to save or back up.

    Step 3: Once the email message is open, click the Actions icon (…) located upper-right of the Mail window, and then click Save as option.

    Step 4: Finally, enter a name for the email message before clicking the Save button. The Windows 10 Mail automatically uses the subject of the email message as the file name while saving it but if you want to name it something else please do so before clicking the Save button.

    As said before, the email message will be saved with .eml file. To open the saved email message, simple double-click on it to open the same in the Mail app. You can also open saved email message in Windows Live Mail, Mozilla Thunderbird, and other desktop email client programs.

    To improve the efficiency and effectiveness of the health care system, the Health Insurance Portability and Accountability Act of 1996 (HIPAA). Public Law 104-191, included Administrative Simplification provisions that required HHS to adopt national standards for electronic health care transactions and code sets, unique health identifiers, and security. At the same time, Congress recognized that advances in electronic technology could erode the privacy of health information. Consequently, Congress incorporated into HIPAA provisions that mandated the adoption of Federal privacy protections for individually identifiable health information.

    • HHS published a final Privacy Rule in December 2000, which was later modified in August 2002. This Rule set national standards for the protection of individually identifiable health information by three types of covered entities: health plans, health care clearinghouses, and health care providers who conduct the standard health care transactions electronically. Compliance with the Privacy Rule was required as of April 14, 2003 (April 14, 2004, for small health plans).
    • HHS published a final Security Rule in February 2003. This Rule sets national standards for protecting the confidentiality, integrity, and availability of electronic protected health information. Compliance with the Security Rule was required as of April 20, 2005 (April 20, 2006 for small health plans).
    • The Enforcement Rule provides standards for the enforcement of all the Administrative Simplification Rules.
    • HHS enacted a final Omnibus rule that implements a number of provisions of the HITECH Act to strengthen the privacy and security protections for health information established under HIPAA, finalizing the Breach Notification Rule .

    This article describes how to use the Outlook 2013 internal e-mail merge mechanism in order to create and send mass personalized emails. Although mail merge in Outlook 2013 is pretty limited, it still can be a viable solution for some of us.

    E-mail merge using the Outlook built-in merge engine

    As you might know, Outlook benefits from the MS Word document mail merge capabilities, allowing you to apply mail merge in Outlook emails. Basically, you can import Outlook Contacts and personalize mass emails (mail merge), so you can email a newsletter to many recipients, as separate emails.

    Assuming you already have an Outlook Contacts list and you want to send a mass email to your mailing list, here are the steps required to do a mail merge in Outlook 2013:

    1. from your main Outlook window, go to the People tab and select the desired contacts that you want to include in your Outlook mail merge:

    2. once you selected your contacts, click on the Mail Merge button displayed on the main Outlook People menu, in the Actions area:

    3. on the mail merge options pop-up window, make sure you select Merge to: e-mail (and type a subject for the newly created mass email):

    4. Outlook will open a new Word document window, where you can type and personalize your email content. As a side note, please pay attention to the use of the words mail and e-mail in Word. By mail , Word actually refers to the physical mail (you know, the one delivered by your mail man, in an envelope). Since Word can perform both mail merge (printing mass mails envelopes) and e-mail merge (composing sending mass emails), make sure you don t confuse the terms, on the Word interface menus. It may sound trivial, but many get confused by the use of both terms in the same window, especially since more and more people refer to e-mail as mail .

    Word lets you personalize the email content by inserting merge fields that were imported from your Contacts. For example, you can personalize the greetings line of your email and make it include the actual name of each contact. However, you can not personalize the email subject line. To personalize the content, click on the Greeting Line or Insert Mail Merge buttons (depending on what you want to achieve):

    5. Once you are done composing your email, you can preview it and you can start the actual merge process by clicking on the Start Mail Merge button -> E-mail Messages:

    Word will now generate separate, personalized outgoing emails for each imported Outlook Contact.

    Mail Merge in Outlook 2013 drawbacks

    Since the emails are composed using MS Word, please be aware that (if you are designing a fancy email with images and formatted text) the email content will likely contain design attributes that are not going to be displayed correctly on other email client applications. So it is important to always send a test mail merge message to your own email addresses, before sending the mass email to your contacts.

    Also, Word is not capable to schedule the mail merge emails in Outlook, so Outlook will be instructed to send ALL your mass emails at once. If you are about to send lots of emails, you are likely to receive at least a temporary email account suspension from your mail server provider. Even sending as few as a hundred emails can get your account suspended. So always check with your mail server provider, before sending mass emails.

    China has launched two men into orbit in a project designed to develop its ability to explore space.

    The astronauts took off from the Jiuquan Satellite Launch Centre in northern China.

    They will dock with the experimental Tiangong 2 space lab and spend 30 days there, the longest stay in space by Chinese astronauts.

    This and previous launches are seen as pointers to possible crewed missions to the Moon or Mars.

    An earlier Tiangong – or Heavenly Palace – space station was decommissioned earlier this year after docking with three rockets.

    The astronauts on this latest mission were Jing Haipeng, 49, who has already been to space twice, and 37-year-old Chen Dong.

    The BBC’s Stephen McDonell was at the Jiuquan Satellite Launch Centre to witness the take-off.

    From a remote launching station in Inner Mongolia, I watched the rocket tear through the sky.

    It will take the astronauts about two days to reach the orbiting laboratory where they will live for a month. They will spend this time analysing plant growth in space and giving themselves ultrasounds to scan their bodies’ performance.

    Only a handful of foreign journalists were allowed into the high-security base to view the launch. But why let any of us in?

    Well for one this country is proud of its space programme. At a time when Beijing is being criticised for flexing its ever-growing muscles, especially in the South China Sea, this is something different.

    China can portray itself not only as a powerful nation, but one which is contributing to the body of knowledge.

    Along the road into the launch centre are several huge billboards featuring President Xi Jinping giving himself a little clap as a “Long March” rocket sends yet another team into space.

    He knows that China’s ambitions in the stars may play well overseas but that means nothing to him compared to the credit he can take for them back at home.

    The spacecraft, Shenzhou-11, took off from at 07:30 local time on Monday (23:30 GMT), lifted by a Long March-2F rocket.

    The astronauts will spend the next month conducting experiments on the Tiangong 2.
