The Winding Up and Dissolution of CUREE
A persisent lack of funding opportunities has led to the necessity of the winding up and dissolution of the CUREE organization. Strategies for trying to continue the non-profit corporation proved unsuccessful over the past several years, and this 2016 will be the last year of its existence.

Many have received research funding from CUREE over the past 28 years and have contributed to the success of multi-year programs such as CUREE-Kajima Joint Research, the SAC Steel Project, and the CUREE-Caltech Woodframe Project. Public education projects such as the permanent outdoor exhibition at the Golden Gate Bridge explaining engineering have also made a mark. But given the continuing funding shortages for university-based earthquake engineering research, it is time for the organization to conclude its operations.

Until the end of the year, all of CUREE publications are available at this website for free download. Please take advantage of this opportunity while it lasts. The online NISEE-PEER library at (http://nisee.berkeley.edu/elibrary/ ) will also provide long-term access to many of these publications.

    Effective SAP Project Managers – SAP Program Managers Deliver Results #erp

    In all the years I’ve been involved with SAP I’ve often puzzled about what makes a really good project rather than some of the freak shows they call SAP projects. After involvement in over 20 SAP projects I’ve seen a few of them go really well, a few that were more like horror shows, but most were mediocre. I’ve often asked myself “Why?” What makes the difference between a good project and one that is nothing short of a mess?

    One key item that stands out is project management. Even with the most talented and dedicated resources bad project management can ruin an otherwise great SAP project.

    I don’t blame client project managers because if they had all of the resources they would not need outside help and guidance.

    Before I get into this, let me define what I consider a “good” project. A good project is one where there is a lot to do, but the stress level is not intense. The timeline may be tight but it is achievable (maybe a little bit of a stretch). The project is delivered on time, on budget, within scope and the result is high quality (a fairly smooth transition without a chaotic go-live).

    Methodology Considerations for a Good SAP Project or SAP Program

    The list below is from a synthesis of materials from SAP’s ASAP methodology, the PMI (Project Management Institute), and my personal experience over the years. Much of this is contained in the SAP ASAP methodology in one form or another so you really have to wonder what any consultant is following if they claim to use it and these items are lacking. In fact the latest ASAP Methodology version 7.1 includes a project start-up checklist to ensure key components are addressed.

    Unlike several years ago when contract project managers had to rely on experience alone the SAP ASAP Methodology is well-proven and mature today.

    There are several key characteristics of a well managed SAP project which includes:

    Early SAP Project or Program Management Activities (Before the Overall SAP Project is Fully Underway)

    • Success criteria defined and communicated for the project.
    • One of the first things that is defined for the project are the key roles, responsibilities, and tasks that will be performed by each participant group in the project.
    • A clear, definitive project plan with WBS elements, networks, and activities planned for every major work-stream throughout the entire timeline.
    • A clear list of deliverables, milestones, templates, and instructions on their usage are provided for the entire project.
    • Deliverables are clearly tied to project value rather than useless administrative exercises (value added activities) (see SAP System Vendor Project Success Criteria Factors 1 scroll down to Sections 8 and 9 ).
    • Scope, time, issues, risk, cost, communication, and integration management plans, together with additional key components are defined.
    • Various standards for the project are defined and documented, including but not limited to business process, development, configuration, enhancement, transport management, testing, etc.

    If you are using outside contract project management resources and these items are not substantially in place by the time you start your project you will likely have your timeline and budget destroyed. Along with the blown schedule and budget your project will also be a pressure cooker filled with stress, anxiety, and frustration. These are also characteristics you find when an SAP project manager or SAP program manager is not qualified. The chaos, tension, stress, and confusion caused by their inability to coordinate the many moving parts of the project are a direct result of their lack of experience and ability.

    I don’t blame client project managers because if they had all of the resources they would not need outside help and guidance.

    The project should be delivered on time, on budget, within scope and with high quality

    Conclusion on Effective SAP Project or Program Management Practices

    You are headed for a project disaster when a contract SAP project manager or SAP program manager fails to ensure the following items are in place early in the project:

    • responsibilities by group and role are defined,
    • deliverables are well laid out,
    • templates are properly prepared,
    • forward looking expectations are set,
    • coordination occurs between all project groups,
    • etc.

    I’ve only ever been on a few projects when the SAP project manager or SAP program manager failed to produce a properly detailed project plan. Every one of those projects had one thing in common, they were absolutely horrendously stressful, difficult, and took more time and cost more than necessary. Along with the failure to produce a proper project plan the lack of proper deliverables, proper roles and responsibilities, and all of the other things a good project plan would help you define were also missing. If this happens to you FIRE those contractors, you are being bled dry and are headed for a budget and timeline disaster.

    Consultancy Project (full-time only)
    For full-time students, there is a consultancy project opportunity which will help you gain valuable experience in real-life project management. The consultancy project will normally last between 6-8 weeks and run during the final semester, July to September.

    Your consultancy project will enable you to put into practice and apply the knowledge you have gained during the course. Our students have found this aspect of the course to be an invaluable networking opportunity, allowing them to build and extend upon their theoretical knowledge by gaining an understanding of client expectations. You should use the opportunity to make business contacts for networking in your future and career.

    Accreditation

    This is our third year using StudioCloud. Before SC we had to use 3 or 4 different programs to get everything done that SC does. I am loving how it keeps everything in one place from contacts, to schedules, to invoices. It’s also great that I can have my employees have limited access.     I am so happy with this software, I would like to share. I run a single person hypnotherapy practice, and have searched high and low for an affordable CRM. I am so thrilled I found StudioCloud! One of my favorite features is the ability to log on from various computers and update my client information, notes, calendar, etc. It’s also helpful that I was able to customize the logbook to add SOAP notes format. Creating invoices was a breeze, also. Another extremely useful feature was when I set up email templates. This alone has saved me so much time and I’m much more efficient when I need to send an initial email to a client with the attached client intake forms.

    There are many benefits and problems with relying on reviews, and one of the biggest concern is that there are just too darned many options. If a cat toy A has 4,900 five-star reviews on Amazon but 2,300 one-star reviews, and cat toy B has 235 five-star reviews and 10 one-star review, which do you buy? Why do we have this kind of stress for freaking cat toys?

    But one way reviews are exceptionally helpful is when they come from verified buyers (NOT spam) and are thorough, such as the reviews on Capterra. When it comes to a major purchase, I have found that reviews are more helpful than harmful. I rounded up the best project portfolio management software based on Capterra’s reviews system. These five are the cream of the crop and I would happily recommend all of them.

    We are a consulting shop with a team of 2 dozen managing more than 50 active projects at a time. And we do it all with 1 project manager because of LiquidPlanner.

    LiquidPlanner has helped tremendously in prioritizing our work and communicating between team members. The online collaboration means each team member can update their status without a PM having to hover over them or update schedules constantly. The ability to have notes and comments attached to the projects helps with handoffs between team members and makes the review process at the end of the project much faster.

    Any of the cons are generally associated with our use it would be nice to share status externally but we haven t set up Dashboards yet, nice if the individual schedules were prioritized better but that s us not them, etc. I think with this software, or any project management software, you have to commit to training and integrating it into the team at the beginning.

    4. Microsoft Project

    As a staple in the project management software industry, it would be a shame if not shocking if MS Project didn’t make the list. Known for its superb ability to make detailed Gantt charts, reporting features, and Microsoft product integrations, Microsoft Project is a safe bet for any large company.

    It is the finest available tool for planning and collaboration to project managers. The reporting and resource management really helps in meeting the delivery needs. I would recommend this tool for enterprise upscaling.

    AtTask has now turned into Workfront, but I promise that the product’s quality has only gotten better. At first glance, Workfront may seem simple, but honestly that’s the beauty of it. See a quick overview of your projects on one clean dashboard, which team members can easily update with the click of a button (no more long forms to fill out, which means a far easier time getting everyone on board with project communication!).

    Pros. I like that Workfront is cloud based and very easy to use. Workfront provides collaboration on projects which is critical to a project s success. Workfront gives everyone high level visibility in their projects down to the smallest detail. No more spreadsheets for me!

    Before purchasing Workfront, I reviewed about ten project management systems and Workfront was the only project management tool that could do what we needed. Very easy to use and the customer service support is excellent. I use the reporting on a daily basis to give an overview of all project timelines so that they stay on schedule and meet the production completion date.

    Cons. I really have nothing that I dislike about Workfront. They are improving the application throughout the year with maintenance updates and system upgrades. You also have an opportunity to submit a product idea to Workfront, once reviewed it could be implemented in their next upgrade.

    2. Clarizen

    If you want to streamline your project processes, I’d definitely recommend Clarizen. This popular project portfolio management software provides both the ability to make complex templates and also the foresight to align projects with company goals. Clarizen is also great for small- to medium- sized businesses because it’s cheapest option is pretty robust. It includes an unlimited number of projects, three custom fields (like effort or currency), and 100MB of storage per user.

    My team has been using Clarizen for a little over a year now and I cannot say enough good things about them. My team implements time and attendance software for companies across the country and using Clarizen as a daily tool to track the progress of those implementations has been great.

    What I am most impressed about with Clarizen is their ability to tackle new challenges. An example is my team has levels of employees based upon experience. One thing that we wanted to try do and then accomplished in Clarizen is writing a Complexity scoring system so that when we entered in new clients and put their information into Clarizen they were given a score based upon certain criteria so that when we assigned new clients to our employees we could assigned the easier clients to the lesser experienced employees and the tougher clients to the more experienced employees. It has worked out fantastically for us and that is just one example of many where we brought an idea to Clarizen and they made it happen.

    One thing that I continue to stress to Clarizen is a need for better Outlook integration. Whether it is a better streamlined emailing option or calendar enhancements it can be improved upon. Overall we have been very happy with the experience so far, enough so that we have brought a new division of our company onto Clarizen and look to possibly expand it even further in the future.

    Price: Starts at $45 per month. Bigger businesses should invest in the enterprise option.

    Wrike is a project portfolio management software that I have personally used and still thoroughly enjoy. The workstation is clean and intuitive, there are tons of reporting customizations for each project, and lots of outstanding integrations like Salesforce. Box. and OneDrive.

    I tried other project management tools before Wrike, but I choose the later [sic] because for us the time tracking capabilities were great. The start-stop button is amazing and helped us track the time spent working for our clients better and more precise than ever!

    Wrike is really simple to use and provides a Gantt chart which is very useful too.

    Activity Stream + Emails is very useful to be always up to date!

    On top of that, customer service is on point, great response time and very capable. Hopefully Wrike team will keep a good balance between Enterprise and Professional version [by] adding more cool stuff not only in the Enterprise. I encourage you all to give it a try!

    Home Dashboards Using Executive Dashboards for Hospital Management

    Those of us who have done dashboard projects in multiple industries know that the first step is to understand that vertical s particular workflows, business rules and measures of performance. Finding out what KPIs to display on the enterprise dashboard for a particular type of business is no easy task unless you have first hand knowledge of that industry. Most consultants called in to implement a business dashboard don t really know the industry first hand and must rely on the client s subject matter experts. That is fine, but the dashboard vendor or consultant must do as much preparation in studying the client s business as much as possible in advance. Yes, your particular expertise may be in dashboarding as a horizontal service, but as nice as your dashboard looks and works, it will not succeed if it doesn t measure the right things.

    For anyone involved in healthcare-related performance dashboards, here is a great primer on the workflows for a hospital. This is from a vendor named statcom and, while it is a sales and marketing tool, it does offer plenty of value-add and education for us dashboarders. It is offered as an interactive flash hospital workflow and patient flow simulator. I ve grabbed a couple of screenshots of the demo as well as the different executive dashboards involved:

    After launching the demo, there is a nice interactive menu as you can see. By the way, here is the link to the hospital workflow simulator. Even this menu listing is of value to someone new in this space, as it breaks down the functions and groups within a healthcare facility: Hospital executives, Emergency Department, Patient and Family Communications, Bed Management, Hospital Support Services, Procedure Centers, Perioperative Services, Physicians and Nurses, Diagnostic Services, Case Management, Clinical Support Services.

    Here are some dashboards that track key performance indicators in a hospital:

    This first one is an executive dashboard for upper management. They call it a Business Activity Monitoring Dashboard. KPIs include: LOS (length of stay) statistics, Projected Occupancy, Average Bed Turns, Accuracy of Discharge Predictions, Emergency Department Disposition to Bed Placement in Unit, and the unfortunately-named Average Dead Bed Time (ouch. ).

    The Emergency Department Dashboard shows real time performance metrics such as Cycle times from door to discharge, milestone measurements of door to disposition, triage to disposition and triage to MD assessment, Diagnostic turnarounds and patient statistics such as the number of patients that are Emergency Department Boarders, Leaving against Medical Advice and (unfortunately) Expired.

    The hospital case management dashboard show key stats such as:

    • Occupancy predictions by day of week (based upon estimated day of discharge)
    • Average time of day that patients are discharged by unit (running 7-day average)
    • Time from case management referral to completion
    • Case Management order status

    Bed management is of course a major focus in hospitals and we have seen several bed managment dashboards before on the Dashboard Spy. This one, according to statcom, provides bed managers a real-time view of bed availability and discharge status including:

    • Occupied and available beds across the system and by unit
    • Number of critical and telemetry beds available
    • Number of observation patients
    • Length of stay (LOS) and discharge statistics from time a discharge order is written until the patient actually leaves the room
    • Key hospital support service performance relative to bed turns, such as Environmental Services: stat turnaround, clean next bed turnaround, last bed on the Unit turnaround, and routine turnaround

    • Create tasks and milestones. Aside from the start date and duration, every task may have priority, cost New in 2.7. color and fill pattern, text notes and user-defined custom fields.
    • Organize tasks in a work breakdown structure. Hierarchical tree where progress, dates or costs of lower level tasks is summarized on the higher levels. Summary tasks can be collapsed to hide tasks which are not important at the moment.
    • Draw dependency constraints between tasks, like “start X when Y finishes” and GanttProject will take care of enforcing these constraints. You can add a lag or use other types of constraints.
    • Create baselines to be able to compare current project state with previous plans.
    • PERT chart for read-only view can be generated from the Gantt chart.

    Resource chart

    • Create human resources with the basic contact information, payment rate New in 2.7 and role.
    • Assign resources to work on tasks with different roles and assignment units.
    • Monitor task assignments and see when some resource gets overloaded or is sitting without work.

    Export

    • Generate PDF report with a summary, required task and resource information and vector chart images.
    • PNG/JPEG images can be generated from individual charts and printed
    • Export to CSV to analyze your data in spreadsheet apps. Import from CSV is also supported.
    • Microsoft Project import and export, as smooth as possible
    • Project calendar import from iCalendar format New in 2.7

    Collaboration

    • Use WebDAV servers with locks support for concurrent work on the same project.
    • Use cloud storage providers which can mount your cloud disk to your local file system for storing your projects in the cloud
    • In the local network GanttProject will do its best to prevent concurrent writes
