GFI Email
security test

Due to the unsafe design of some email programs, email viruses now are able to infect computer systems just by email. Once infected, a computer system can spread the virus further by sending malicious emails to other systems without any human interference. Well designed email programs do not display these vulnerabilities. Unfortunately, commercial success is not related to good design.
Virus scanners (please see above) can offer good protection against email viruses by scanning each incoming mail, but will never protect against 100% of all attacks, since it is impossible to know and detect each and every possible type of virus.
Therefore, even when you have a real-time virus scanner, it is wise to get some information on the vulnerabilities and strengths of your email program. The GFI site tests your email program by sending you number of emails that probe your mail system.

Protecting Microsoft
Outlook against Viruses

Some Outlook and Outlook express versions are very vulnerable to virus attacks through email. Several versions of Outlook and Outlook Express can execute malicious scripts or programs hidden inside emails sent to you without warning. This site provides information on how to protect your computer from Outlook-related viruses.

What is Voice over IP? The Basics

What is voice over IP? How is it different from unified communications? And how can it help your small business?

What is Voice over IP?

Voice over Internet Protocol (VoIP) technology lets you use the Internet to make and receive telephone calls.

What is Voice over IP. The Range of Services

VoIP is available in a wide range of services. Some basic, free VoIP services require all parties to be at their computers to make or receive calls. Others let you call from a traditional telephone handset or even a cell phone to any other phone.

What is Voice over IP. Equipment

For VoIP, you need a broadband Internet connection, plus a traditional phone and an adapter; a VoIP-enabled phone; or VoIP software on your computer.

What is Voice over IP. Security and Service Quality

Most consumer VoIP services use the Internet for phone calls. But many small businesses are using VoIP and unified communications on their private networks. That’s because private networks provide stronger security and service quality than the public Internet.

What is Voice over IP. Versus Unified Communications

Unified communications systems offer more features and benefits than VoIP, yet many are still priced for small businesses. Unified communications brings together all forms of communication regardless of location, time or device. Faxes, e-mail, and voicemail are all delivered to a single inbox. You can integrate your phone and customer relationship management (CRM) systems to improve your customer service, and much more.

What is Voice over IP. The Benefits

VoIP and unified communications enable you to:

  • Reduce travel and training costs, thanks to web and video conferencing
  • Easily grow your phone system as needed
  • Have one phone number ring simultaneously on multiple devices, helping employees stay connected to each other and to customers
  • Reduce your phone charges
  • Have a single network for voice and data, simplifying management and reducing costs
  • Access your phone system’s features at home or at client offices, in airports and hotels—anywhere you’ve got a broadband connection

7 Reasons to Lease Your Next Used or New Phone System

7 Reasons to Lease Your Next Used or New Phone System

22 February 2007

7 Reasons to Lease Your Next Business Phone System, New Phone System or Used Phone System
By: Mark Allen

  • Conserves Capital: Leasing conserves valuable company working capital and preserves your bank credit lines.
  • Offers a Convenient Application: Provides Quicker Approval with Fewer Hassles.
  • Preserves Bank Credit Lines: Leasing lets you put your equipment to use immediately to generate revenues – with minimum budgetary impact.
  • Cost: Lease financing is generally more expensive than bank financing, but in most instances it’s more easily obtained.
  • Gives Flexible Payment Options: Leasing permits 100% financing with no down payment, so you get the equipment you need without a major cash outlay. With leasing, you can arrange long, flexible terms with low monthly payments.
  • Allows for Easy Upgrades and Add-Ons: What if your business is growing and you need to add phone equipment. In most instances, the leasing company will allow you to add this equipment to your existing lease
  • Lease payments are fixed, not adjustable: You don’t have to worry about floating interest

    Frequently asked questions:

Is leasing of new and/or a used phone systems appropriate? Any business at any stage of development leasing is always an alternative. For start-up businesses with no revenues, small ticket leases as in phone systems, those of $100,000 or less, are feasible on the personal credit of the founders or owners.

Is there a supply leasing funds for used phone systems and new phone systems? Abundant. Of the billions of dollars individual and institutional investors pour into the capital markets each month, a good hunk finds its way to leasing companies that use these funds to purchase equipment on behalf of small businesses. With more and more money flowing into the markets, leasing companies are flush with capital. As a result, they are eager to do business and respond to competition with lower monthly rates.

Can other costs be included in lease of business phone system? Leasing can also finance the soft costs often associated with equipment purchases, such as installation and training services.

How hard is it to obtain lease financing for a used phone system? Easy for leases of less than $100,000. An application for a small-ticket lease is generally no more complex than a credit card application. Leases for more than $100,000 require detailed financial information from the business, and the leasing company conducts a more thorough credit analysis than it would for a smaller transaction.

How do I find a leasing company for by new or used business phone system? Finding an equipment-leasing company is easy. Almost any phone system equipment a phone system installer could conceivably provide offers a lease option. What are the lease option terms I can expect for new phone systems and used phone systems? Usually the leases are set up in terms of 24, 36, 48 or 60 month terms.

What are my purchase options of this phone system at the end of the lease?

$1.00 Buy Out: At the end of the lease term, lessee may purchase the equipment for $1.00. (Most popular because then you can own the equipment at the end of the lease for $1.00. The monthly payment is only slightly higher then the other purchase options.)

10% Purchase Price: Customer may purchase the equipment at the end of lease for 10% of the original transaction cost.

Fair Market Value: This program gives you the most flexibility with upgrades to combat obsolescence. At the end of the lease term the lessee can continue to lease the equipment, return the equipment or buy it at its fair market value.

What is my down payment? The options are usually no down payment, one months lease, or first and last month’s lease payment.

In summary, conserve capital with monthly lease payments on your business phone system, installation and voice/network cabling. Though it’s not apparent at first glance, the company offering the lease financing for your used phones or new phones is not the same one that is selling the equipment. The company selling the equipment simply makes a direct referral to a leasing company with which it does business.

It’s a good idea to get a quote from the leasing firm referred by the company that wants to sell you the equipment. The quote should be competitive. After all, the company selling products wants to sell as many as possible, and it surely doesn’t win any points by referring a leasing company that gouges its customers. But it also pays to get another quote. Usually, the company selling the equipment works with more than one leasing company. Or ask a friend or a business associate for a referral.

  • What is VoIP (voice over IP)? Definition from #voice #over #ip

    #

    VoIP (voice over IP)

VoIP (voice over IP) is the transmission of voice and multimedia content over Internet Protocol (IP ) networks. VoIP is enabled by a group of technologies and methodologies used to deliver voice communications over the internet, enterprise local area networks or wide area networks .

    Download this free guide

How Well Do You Know WebRTC? Find Out Now

WebRTC continued its gradual change in 2016 – but where is it going from here? Find out in this expert guide, and even test what you know in a 10-question WebRTC architecture quiz.

By submitting your personal information, you agree that TechTarget and its partners may contact you regarding relevant content, products and special offers.

You also agree that your personal information may be transferred and processed in the United States, and that you have read and agree to the Terms of Use and the Privacy Policy .

VoIP historically referred to using IP to connect private branch exchanges (PBXs ), but the term is now used interchangeable with IP telephony .

    How does VoIP work?

VoIP encapsulates audio via a codec into data packets, transmits them across an IP network and unencapsulates them back into audio at the other end of the connection. VoIP endpoints include dedicated desktop VoIP phones. softphone applications running on PCs and mobile devices, and WebRTC -enabled browsers.

By eliminating the use of circuit-switched networks for voice, VoIP reduces network infrastructure costs, enables providers to deliver voice services over their broadband and private networks, and allows enterprises to operate a single voice and data network. VoIP also piggy-backs on the resiliency of IP-based networks by enabling fast failover around outages and redundant communications between endpoints and networks.

    VoIP protocols and standards

VoIP endpoints typically use International Telecommunication Union (ITU) standard codecs, such as G.711. which is the standard for transmitting uncompressed packets, or G.729. which is the standard for compressed packets. Many equipment vendors also use their own proprietary codecs. Voice quality may suffer when compression is used, but compression reduces bandwidth requirements. VoIP typically supports non-voice communications via the ITU T.38 protocol for sending faxes over a VoIP or IP network in real time.

Once voice is encapsulated onto IP, it is typically transmitted via the real-time transport protocol or through its encrypted variant, secure real-time transport protocol. The Session Initiation Protocol (SIP) is most often used for signaling that is necessary to create, maintain and end calls. Within enterprise or private networks, quality of service is typically used to prioritize voice traffic over non-latency -sensitive applications to ensure acceptable voice quality.

Additional components of a typical VoIP system include the following: an IP-PBX to manage user phone numbers; devices; features and clients; gateways to connect networks and provide failover or local survivability in the event of a network outage; and session border controllers to provide security, call-policy management and network connections. A VoIP system can also include location-tracking databases for E911 (enhanced 911) call routing, and management platforms to collect call-performance statistics for reactive and proactive voice-quality management.

The Voice and Aging #voice #volume

    #

As we age, our voices change. The most dramatic voice changes are those during childhood and adolescence. The larynx (or voice box) and vocal cord tissues do not fully mature until late teenage years. Hormone-related changes during adolescence are particularly noticeable among boys. The rapid changes in the size and character of the larynx causes characteristic pitch breaks and voice “cracking” during puberty as we learn to use our rapidly changing voice instruments.

After several decades of relatively stable voice, noticeable change can occur in the later years of life. As our bodies age, we lose muscle mass, our mucous membranes thin and become more dry, and we lose some of the fine coordination that we had in younger years. It is no surprise that these changes occur in the larynx as well, and this leads to changes in our voice. Your doctor may call these changes vocal cord atrophy or bowing, presbyphonia, or presbylaryngis.

Changes in the Voice as We Age

Below is a list of commonly reported voice changes as we age:

    • Higher pitch voice in men
    • Lower pitch voice in women
    • Reduced volume and projection of the voice (or “thin” voice)
    • Reduced vocal endurance
    • Difficulty being heard in noisy situations
    • Tremor or shakiness in the voice

These symptoms are amplified by the reduced hearing ability that commonly occurs in our peers as we age.

NOTE: Much of the time, hoarseness and vocal difficulties are not simply age related change. Any change that you notice in your voice should be a warning sign that something may be wrong. See your otolaryngologist (ear, nose, throat doctor). Almost all voice problems are highly treatable.

What Can Be Done About Age-Related Voice Change?

If you are bothered by your voice, take action today. As a first step, consider taking the Voice-Related Quality of Life quiz available on the Academy’s World Voice Day page. By answering a short series of questions, you’ll be able to measure the quality of your voice.

Secondly, consider a vocal fitness program (i.e. voice therapy), as healthy voice use is key to voice preservation. Under the guidance of a speech-language pathologist, a vocal fitness program can make a big difference.

Finally, some people are candidates for medical or surgical treatment to improve the steadiness, strength, or endurance of the voice. See your Otolaryngologist for further information.

Overall Body Fitness Can Fuel Your Voice

Most of us want to maintain our youthful fitness and the same holds true for the voice. Maintaining excellent overall body fitness will help keep your voice healthy. Keep vocally fit as well—in many cases the more active you stay vocally, the stronger your voice will be. Healthy vocal exercises may not seem as obvious as healthy exercises in the gym, so professional guidance from a voice therapist or voice coach is very helpful. Some things you may do on your own though include: reading a book or paper aloud for 10-15 minutes, 2 or 3 times a day, as well as singing with the radio.

VoIP buying guide for small business

The cord-cutting movement isn’t limited to consumer cable and Netflix. As Voice over Internet Protocol communication matures and as high-speed Internet becomes cheap and ubiquitous, an increasing number of businesses are ditching conventional landlines and jumping to VoIP.

VoIP sounds almost magical: The hype makes it sound more flexible, more full-featured, and best of all, significantly cheaper than placing your calls through traditional telephone service providers.

But is VoIP really all it’s cracked up to be? Are the potential pitfalls worth the potential monetary payoffs? I’ll walk you through the basics, discuss the pros and cons, and take a look at three commercial VoIP services of varying complexity.

    How Does VoIP Work?

Generally, things are pretty simple if you’re looking for a hosted service. Many of the top VoIP providers handle all the heavy lifting offsite, delivering calls to your phones and software clients without much hassle, especially if you use phones that are plug-and-play certified for the service in question. The majority require no additional on-site hardware aside from those phones; at most, you might need to find a space for a small box of hardware somewhere on-site.

In contrast, maintaining a self-hosted, on-site VoIP system requires a bit more work. You need an IP-based private branch exchange—a VoIP-friendly version of the PBX phone systems that many offices use—to route your calls to the appropriate phones on your network, as well as a device called a PSTN gateway. The PSTN gateway sits between the IP-PBX software and the analog signals of the public switched telephone network, converting calls to and from digital signals as necessary.

No matter which option you choose, typically you can handle the basic settings for your phone lines or extensions over the phone, while tweaking more advanced options requires diving into your provider’s online account interface.

What Do You Need to Implement VoIP?

Depending on the size of your company and the infrastructure you already have in place, jumping on the VoIP bandwagon could cost your company next to nothing, or it could entail significant up-front costs.

Even home broadband connections can handle several VoIP calls simultaneously, though you’ll need to be sure to leave bandwidth available for other applications as well. VoIP requires a broadband connection—and the more simultaneous users you have, the more bandwidth you’ll need. If you work alone out of a home office, or if you have only a few employees, you won’t have much to worry about; for example, on my setup, running RingCentral’s Connection Capacity utility shows that my 15-mbps home Comcast connection could handle 11 calls simultaneously even if I had Netflix, Spotify, and an instant-messaging client running on the network at the same time.

Make sure that your internal network—including your routers and switches—can handle the load, too. Most providers suggest using a router with configurable Quality of Service settings and assigning VoIP traffic high priority to maximize quality.

If your Internet service provider has a bandwidth cap in place, you should take that into consideration as well. Most VoIP service providers use the high-quality G.711 codec for VoIP communications, which consumes 64kb of data every second you talk. In reality, even a large number of people should be able to chat it up on VoIP without having to worry about hitting bandwidth caps, but you’ll want to keep close tabs on your data usage to avoid exceeding that cap.

You’ll need a SIP-enabled phone, such as the Snom 300, if you want to make VoIP calls. Finally, even if you subscribe to a cloud-based hosted VoIP service, you’ll need to make sure your phones can communicate over VoIP. Most VoIP systems use session-initiation protocol technology to assign each phone or VoIP software client a specific address; that’s how the IP-PBX routes calls to specific lines. As such, you’ll need a SIP-enabled phone to make VoIP calls. (Some VoIP systems use H.323 technology rather than SIP, but those are rare.) If you want to keep your old analog touch-tone phones or fax machines, you can plug them into an analog telephone adapter (ATA), but they won’t be able to use many of the advanced features that SIP-based VoIP phones provide.

What is Voice over Internet Protocol (VoIP)? Webopedia Definition #voip, #voice

    #

VoIP – Voice over Internet Protocol

Voice over Internet Protocol is a category of hardware and software that enables people to use the Internet as the transmission medium for telephone calls by sending voice data in packets using IP rather than by traditional circuit transmissions of the PSTN .

    Advantages of VoIP

One advantage of VoIP is that the telephone calls over the Internet do not incur a surcharge beyond what the user is paying for Internet access, much in the same way that the user doesn’t pay for sending individual emails over the Internet.

There are many Internet telephony applications available. Some, like CoolTalk and NetMeeting, come bundled with popular Web browsers. Others are stand-alone products. VoIP also is referred to as Internet telephony. IP telephony, or Voice over the Internet (VOI).
